How to create Top n report in Crystal Reports

Displaying summary data is one most catered reporting requirement. So being a Crystal Reports Developer you must know how to create a Top N report in Crystal Reports. Following tutorial gives step by step instruction of creating Top N report in Crystal Report.

e.g. Create a Crystal report showing Top 5 Employees getting highest salary.

1. Since you have already learned adding tables and creating simple report in Crystal Reports I will not repeat those steps here. Refer

2. Add the required fields into detailed section

3. Create a Group using Group Expert

Crystal Reports Top N Report4. Insert a Summary on the measure which needs to use for Top-N. Make sure you select newly created group as “Summary Location”.

5. Now suppress the “Group Header” and “Group Footer” sections as we don’t want to show group header and footer on report.

6. Open “Group Sort Expert” from “Report: menu or from expert tool bar. “Group Sort Expert” will be displayed if you do not have group and you do not have summary field added to group.

Select the required options from Group Sort Expert as shown and click ok.

7.  After above steps you can see top 5 employees on your report.
